On the Work Order screen, you will notice the stoplight right there in the center of the screen. This is the Profit Indicator Light. We put this here to give you a quick look at the profitability on the work order and give you the option to look at the profitability on a task level. 

Green means “GO”, that means you are on the right track for your profit margins on the Work Order as a whole. Good Job! 

The Yellow light means, that you are doing a little too good. It means that you might be charging a bit too much for the work, which is perfect for you, but it may scare off some customers, and they might shop around and go to another auto shop to get the work done. So if the light is yellow, consider lowing the price of the job so you can get the light back in the green.

The Red light, uh oh. This means that you are potentially losing money on this job, but no need to panic. Take a deep breath; the traffic light has found the problem. Phew, all you need to do is adjust your pricing on the work order to get your margins back in the green!

Double clicking on the light will give you a bit more detail of the profit on the work order. It breaks it down into four groups: Labor Margin, Parts Margin, Sublet Margin, and a Combined Margin. You will see below the bars, the actual numbers of profit or loss. At the bottom of this window, you can select the “Entire Work Order, ” or you can choose a particular task on the work order.

To change your profit margin, go to Options> Preferences > Work Order Settings. Change the Low and the High-profit margin to whatever is best for you shop and what is expected for the demographic you are serving, Once this is set up, you are done, and you don’t need to touch it again.

1. Set up the Service Tracking Groups.-

Go to Lists>Service Tracking. Here you can set up different service groups. Set up your timeframe, and mileage you would like to track for that service group. So when every task with that service group is selected, it will be tracked by Winworks.  Make sure to have the correct maintenance schedule selected. This will ensure that when you run marketing campaigns they will go to the correct people and the correct vehicles. 

2. Set up the Tasks

When you are in the task window. Look on the right-hand side of the screen, and look for “Service Tracking” and when you have that selected to the correct Service Type, you will be able to automatically track the Service Selected.

The Battery Fee will be set up as a surcharge and coded to accounting code 2-MISC OR a classification not currently being used. This will allow the fee to be tracked on the Full Details Report in the MISC 2 column. You will need to verify that any surcharges already configured are NOT coded to 2-MISC. If any other surcharges are coded to 2-MISC, change to another classification.

Steps to set up a surcharge for the Battery Fee

• • Click on LISTS at the top of the AutoShop screen
• • Select Standard Surcharge
• • Click the ADD button
• • Type in surcharge name of Battery Fee
• • Enter Fixed Dollar Amount of $1.00
• • Change the Accounting Classification drop-down option to 2-MISC OR a classification not currently being used
• • Click OK to save
• Run the accounting report “Miscellaneous Sales Report” to get the accounting information for tax purposes.

UPDATE:

At this time, Winworks programmers have resolved the issues concerning Windows 10 compatibility. We have not yet released the update that will fix the issues at this time. We are compling the files, and plan to release a update patch in the next few weeks, in the meantime, customers experiencing issues with Windows 10 can call our tech-support line, and have a tech manually update the nessessary files to repair the known Winwdows 10 issues.

With Windows 10s’s recent release, a lot of people are wanting to upgrade. At this time Winworks AutoShop programmers are advising to NOT upgrade at this time. If you have already upgraded to Windows 10 there are some temporary fixes we can make to your system to ensure you are up and running. Give us a call and we will love you help you out. Microsoft is scheduled to release a update to Windows 10 at the end of the month, hopefully this is resolve the issues we have been having in Winworks AutoShop.

How to Search for Information in AutoShop Marketing Machine

Included in the Professional and Premium editions of the Winworks AutoShop Management program, is the AutoShop Marking Machine. There are so many prebuilt ways to extract customers into data files, postcards, emails and more. One of the most popular features in the Marking Machine is the ability to use SQL (Structured Query Language). Now if you are not that familiar with computers you may not know what that means. In the simplest terms, it is a way to search the deepest parts of your database and get the information you want and need. At the bottom of this page is a list of our prebuilt SQLs. All you would need to do it first, open Marketing Machine. Then in the upper left hand corner Click the SQL button. And copy and paste the SQL you would like in there. Making sure to change the items such as dates and zip codes, the items in bold. (being sure to not change anything else) Click “OK” and select the output method of the data you requested, and click the green arrow.

CARFAX is valuable tool to thousands of shop owners all over North America. In many ways it is like having another tool in the shop; it can bring in revenue and make the job a whole lot easier.

When a shop uploads a vehicles service history to CARFAX in the AutoShop program, CARFAX in turn gives you, for free, a VIN Decoder system. The VIN Decoder system works like this, type in the license plate, and click the VIN button, and CARFAX will automatically put the VIN number in for you. Saving you time from typing in the VIN and the hassle of transposing numbers or letters.

Another beneficial reason why CARFAX uploading is a valuable tool is the upload itself. When CARFAX gets the upload from your shop, it has the basic vehicle information and the repair that was done to it. Backing up the data you record in your automotive repair program is one of the best practices you can have in your auto shop.
